In light of the challenges the travel sector has recently faced, it has become clear that organising trips no longer depends only on choosing a destination and preparing an itinerary. It now calls for greater flexibility, backup plans, and genuine cooperation between organisers.
With this in mind, we held the Beyond Community Gathering for Tour Organisers, with the aim of creating a space that brings together trip organisers and experienced professionals to discuss current challenges, exchange experiences, and look for practical solutions that help keep trips running, reduce losses, and strengthen traveller safety and clarity of experience.
The gathering was not just an introductory meet-up; it was the start of an important professional dialogue about the future of trip organising, and about how organisers can handle unexpected circumstances in a more professional and better-prepared way.
The gathering was distinguished by the presence of a select group of experienced specialists, joined by:
They shared their practical experience and insights on crisis management, business continuity, and protecting projects during unstable periods.

The gathering brought together a number of tour organisers and travel companies, including:
Their attendance and contributions played an important role in enriching the discussion, raising real-world challenges from the travel sector, and arriving at practical ideas that can be put into action.

During the gathering, a number of themes related to business and trip continuity were discussed, including:
One of the most important outcomes of this meeting was the preparation of the first issue of the Beyond Community magazine — Beyond Community, a special issue aimed at tour organisers, bringing together 12 practical, actionable ideas, prepared as a simple reference to help organisers:
The aim of this issue is not only to offer theoretical solutions, but to document practical ideas and practices that organisers can benefit from and develop according to the nature of their trips and their customers' needs.
Idea 1: An alternative airport as the trip's departure point
Instead of all trips starting from Kuwait Airport, some programmes can be designed with an alternative departure point such as Dubai Airport or Dammam Airport. This reduces complete reliance on Kuwait Airport and allows trips to continue even with local restrictions or closures.
Idea 2: Turning the crisis from a complete halt into a manageable risk
The core idea is to build clear alternatives, strong contracts, and flexible options for travellers, along with regional expansion and community support among organisers.
Idea 3: Mandatory travel insurance for all participants
Travel insurance becomes a mandatory condition for taking part in trips. It is not limited to medical cases only, but serves as a precautionary measure for any emergency during travel.
Idea 4: Clear contracts and defined force majeure clauses
Reviewing contracts and adding clear clauses that define the rights of the organiser and the traveller in cases of cancellation or forced postponement.
Idea 5: A continuity plan for every trip
Preparing a continuity file for each trip before it launches, covering the alternative airport, the final decision deadline, customer messages, and postponement options.
Idea 6: Multiple departure packages
Designing Package A from Kuwait, Package B from Dubai, and Package C as land-only, making trips broader and more flexible.
Idea 7: Land transport partnerships
Arranging agreements in advance with VIP buses, private cars, and family vans for transport from Kuwait to Dammam or Dubai.
Idea 8: An operational support agreement between organisers
If one organiser is unable to travel, an approved community member steps in to cover, at a pre-agreed price.
Idea 9: Flexible options for travellers
Offering multiple options instead of only cancellation or refund: postponing the trip, converting the amount into travel credit, transferring the booking to another person, or offering a special discount on a future trip.
Idea 10: Improving communication with customers during crises
Customers don't need big promises; they need clarity and reassurance. Use calm, confident language, acknowledge the challenges, and avoid scaremongering or guarantees that cannot be given.
Idea 11: A clear postponement and credit policy
Instead of cancellation or refund being the only option, offer more flexible options that reduce losses and retain customers.
Idea 12: Diversifying markets outside Kuwait
Targeting customers from outside Kuwait, especially if the trip starts from an alternative airport. Potential markets: Saudi Arabia, the UAE, Qatar, Gulf residents, and Arabs interested in organised travel experiences.
At Beyond Community, we believe that the strength of the sector is not built by individuals alone, but through a community that shares expertise, discusses challenges openly, and looks for solutions that protect the organiser and the traveller at the same time.
Our heartfelt thanks and appreciation go to everyone who attended, took part, and helped enrich this gathering with their ideas and experience. This work is the fruit of collective participation, and a first step we are proud of on the Beyond Community journey.
We are proud of Beyond Community's first achievements, and what comes next will be even better, God willing.
Beyond Community — together for a stronger, more resilient travel sector.
